Holonautic may collect personal identification information from Users in a variety of ways, including, but not limited to, when Users visit our site, subscribe to the newsletter, fill out a form, and in connection with other activities, services, features or resources we make available on our Site. Users may be asked for, as appropriate, name, email address. We will collect personal identification information from Users only if they voluntarily submit such information to us. Users can always refuse to supply personally identification information, except that it may prevent them from engaging in certain Site related activities.
When you apply for or participate in a competition or tournament involving Holonautic, or complete one of our surveys, we collect the information you submit through the relevant form. The organizer, eligibility requirements, schedule, game, prizes, and other event-specific terms will be identified on the relevant event page or application form and are not part of this Privacy Policy.
Depending on the form, the information collected may include:- your name or display name;
- email address;
- country or region;
- confirmation that you meet the applicable event's age and eligibility requirements;
- Steam, Discord, or in-game username or identifier;
- confirmation that you own the full version of the applicable game;
- event availability and scheduling information;
- your preferred prize-payment method; and
- any other information you voluntarily provide in form responses.
The exact fields collected are shown on the relevant form.We use this information to:- review applications and verify eligibility for the relevant event;
- register and communicate with participants;
- organize, operate, moderate, and document the relevant event;
- prevent cheating, fraud, duplicate entries, and rule violations;
- determine and announce event results;
- verify winners and pay prizes; and
- comply with accounting, tax, legal, and dispute-resolution obligations.
Where applicable, we process this information because it is necessary to administer your participation, because we have a legitimate interest in running a fair and secure event, because we must comply with legal obligations, or because you have given separate consent—for example, for optional promotional use.
Google Forms
Our competition, tournament, and survey forms may be hosted using Google Forms, a service provided by Google. Form content and responses are processed and stored using Google's systems. Where Google Forms is provided through our Google Workspace account under an applicable data-processing agreement, Google processes form responses on our behalf as a data processor.
Google may process data in the United States and other countries where Google or its subprocessors operate. Where required, international transfers are protected using safeguards recognized under applicable data-protection law. Google may also process certain technical, security, account, and service-usage information under its own privacy terms. Access to form responses is limited to Holonautic personnel and contractors who need the information for the purposes described above. We may also disclose limited information to payment providers, event service providers, professional advisers, or authorities where reasonably necessary or legally required. We do not sell application or survey information.
Some events may be organized or co-hosted by a third party. The relevant event page or form will identify that party and explain whether application information is shared with it. If a third-party organizer independently decides how and why it uses personal information, it acts as a separate data controller and its own privacy notice will also apply.
Retention
Unless a longer period is required because of a dispute or legal obligation:- unsuccessful applications and ordinary participant records are deleted or anonymized within 90 days after the relevant event, payment of any prize, and resolution of any outstanding disputes;
- winner identity, payment, and accounting records may be retained for up to 10 years where required by accounting, tax, or other applicable law; and
- promotional material used with the participant's consent may be retained until that consent is withdrawn, subject to material already lawfully published and any legal retention requirements.

Minors
Competition and tournament forms are not intended for anyone below the minimum age stated for the relevant event. If we learn that an ineligible minor has submitted personal information, we will delete it unless we are legally required to retain it.
We may collect non-personal identification information about Users whenever they interact with our Site. Non-personal identification information may include the browser name, the type of computer and technical information about Users means of connection to our Site, such as the operating system and the Internet service providers utilized and other similar information.
Our Site may use “Cookies” to enhance User experience. User’s web browser places cookies on their hard drive for record-keeping purposes and sometimes to track information about them. User may choose to set their web browser to refuse cookies, or to alert you when cookies are being sent. If they do so, note that some parts of the Site may not function properly.

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, username, password, transaction information and data stored on our Site. Sensitive and private data exchange between the Site and its Users happens over a SSL secured communication channel and is encrypted and protected with digital signatures.
We do not sell, trade, or rent Users personal identification information to others. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and users with our business partners, trusted affiliates and advertisers for the purposes outlined above.
Holonautic does not store any of your data concerning Surgineer. As outlined above some of your data is stored at a platform level. If you wish to delete your play data you will need to contact the platform (Meta) to remove your data. Cybrix makes use of online leaderboards, which means your achieved score along with your user Id is sent and stored at the Oculus Leaderboard service. You can review the privacy policy of oculus here.
To enable the leaderboards in the game we track your unique identifier, username and your best achieved score per level and difficulty.
Cybrix was built using the Unity engine, and we do use crash reporting and analytics offered by Unity.

Depending on the platform where you consume our games, the platform holders may collect various data on you. Our web server stores connection logs for purely technical reasons to ensure correct functional operation of the website. These are automatically deleted after a maximum of 31 days.
Our game sites use video embeds from youtube. We have activated "Restricted Data Tracking", so no tracking is done unless the user explicitly plays the video.
